Privacy Policy

This Privacy Policy explains how Ad-coar International ("Adcoar Tours", "we", "us") collects, uses, and protects information when you use the Adcoar Tours platform at adcoar-tours.com and any tenant subdomain of it (together, the "Service").

1. Who this policy covers

Adcoar Tours is a business-to-business platform used by tour and safari operators ("tenants") to run their operations. Two kinds of personal data pass through the Service:

  • Platform account data — information about the people who sign up for and use Adcoar Tours on behalf of a tour operator (name, email, phone, company details, billing information). We are the data controller for this information.
  • Tenant business data — information a tenant enters into their own workspace about their own clients, leads, suppliers, agents, and staff (including payroll data, where applicable). Each tenant's data is stored in its own isolated database. For this data, the tenant is the data controller and Adcoar Tours acts only as a data processor, handling it under the tenant's instructions. If you are a client, employee, or contact of one of our tenants, questions about your personal data should go to that tour operator directly — they control what is collected and why.

2. Information we collect

Account & signup information

When a workspace is created, we collect the company name, the signing-up user's name and email address, phone number, and country.

Billing information

Platform subscription payments are processed by Flutterwave. We do not store your card or mobile money details ourselves — Flutterwave handles that directly and shares with us only what's needed to confirm and record a payment (amount, status, transaction reference).

Content you create

Quotes, itineraries, client and lead records, rate catalogs, supplier and agent records, invoices, payments, and — on plans that include it — staff, leave, loan, and payroll records. This is tenant business data as described above.

Communications

Messages sent through the in-app support chat, and any message submitted through our public contact form.

Technical & usage data

Login timestamps, IP address, device/browser information, and an activity log of significant actions taken in the platform admin area — kept for security, troubleshooting, and audit purposes.

Sign in with Google

If you use "Sign in with Google," we request only your name, email address, and profile picture (the standard openid, email, and profile scopes) to identify you and log you into your existing account. We do not request or receive access to your Google Drive, Gmail, contacts, or any other Google data through this feature.

Connected email accounts

Tenants may optionally connect a Gmail, Microsoft, or Zoho mailbox so the platform can send quotes and invoices from their own address. For Gmail specifically, we request only the gmail.send permission — the ability to send a message on your behalf. We never request, and are technically unable to obtain, permission to read, search, or store the contents of your inbox. You can disconnect a connected account at any time from your workspace settings.

3. How we use information

  • To provide, operate, and maintain the Service
  • To authenticate logins and secure accounts (including one-time login codes)
  • To process subscription billing and send related notices
  • To send quotes, invoices, and booking-related email on a tenant's behalf, when a mailbox is connected for that purpose
  • To respond to support requests and contact form submissions
  • To detect, investigate, and prevent fraud, abuse, or security incidents
  • To improve the Service and understand how it's used

4. How we protect information

Each tenant's business data lives in its own dedicated database, accessed through its own dedicated database credential — not a shared one — so a compromise of one workspace's credentials cannot expose another's data. Sensitive credentials (such as connected mailbox tokens) are stored encrypted. Every login, whether by password or Google sign-in, requires a one-time code as a second factor.

5. Third-party service providers

We share the minimum data necessary with the following providers to operate the Service:

  • Flutterwave — subscription and client payment processing
  • Zoho Mail — sending platform notification and support email
  • Google, Microsoft, and Zoho OAuth — used only if a tenant connects a mailbox or uses Sign in with Google, as described above
  • WhatsApp Business Platform (Meta) — used only if a tenant enables WhatsApp messaging to their own clients
  • Google reCAPTCHA — spam prevention on our public contact form, subject to Google's own privacy policy
  • Our infrastructure hosting provider, who stores data on our behalf and does not independently use it

We do not sell personal data, and we do not use third-party advertising trackers on this site.

6. Data retention

We retain platform account data for as long as a workspace remains active, and for a reasonable period afterward to comply with legal, tax, and accounting obligations. Tenant business data is retained under the tenant's own control and is deleted or exported at their direction, subject to the same legal retention requirements. You can request deletion of your platform account data by contacting us at the address below.

7. Your rights

Depending on your location, you may have the right to access, correct, export, or request deletion of your personal data, and to object to certain processing. To exercise any of these rights over platform account data, contact info@adcoar-tours.com. If your data was entered into the platform by a tour operator you're a customer or employee of, please contact that operator directly, as they control that data.

8. Children's privacy

The Service is intended for business use by adults working at tour and safari operating companies. It is not directed at children, and we do not knowingly collect personal data from children.

9. International data transfers

Adcoar Tours serves tour operators across multiple countries, and data may be processed in a country other than the one you're in. Where required, we take reasonable steps to ensure such transfers are subject to appropriate safeguards.

10. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page.
